Lawful bases and data protection rights
Under UK data protection law, we must have a "lawful basis" for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO's website.
Which lawful basis we rely on may affect your data protection rights, which are set out in brief below:
- Your right of access — you can ask us for copies of your personal information, plus details about where we got it from and who we share it with.
- Your right to rectification — you can ask us to correct or delete personal information you think is inaccurate or incomplete.
- Your right to erasure — you can ask us to delete your personal information.
- Your right to restriction of processing — you can ask us to limit how we use your personal information.
- Your right to object to processing — you can object to the processing of your personal data.
- Your right to data portability — you can ask that we transfer the personal information you gave us to another organisation, or to you.
- Your right to withdraw consent — when we use consent as our lawful basis, you can withdraw it at any time.
If you make a request, we must respond without undue delay and in any event within one month. To make a request, contact us using the details above.
Our lawful bases for the collection and use of your data
For providing services and goods, and for the operation of customer accounts: Contract — we have to collect or use the information so we can enter into or carry out a contract with you.
For service updates or marketing purposes: Consent — we have permission from you after we gave you all the relevant information. You can withdraw your consent at any time.
For legal requirements: Legal obligation — we have to collect or use this information to comply with a legal obligation we're under (for example, keeping certain financial or tax records).
For dealing with queries, complaints or claims: Legitimate interests — we need to use the information to respond to and resolve your query, complaint or claim; and Contract, where you are an existing client.
Where we get personal information from

How long we keep information
We keep personal information only for as long as we need it. Our retention periods are as follows:
- Client and session records (names, contact details, session notes): kept for 2 years after our last contact with you, then securely deleted.
- Payment, invoicing and purchase records: kept for 6 years from the end of the relevant tax year, in line with HMRC record-keeping requirements for the self-employed.
- Marketing preferences and consent records: kept until you unsubscribe or withdraw consent, plus a further 3 years to demonstrate compliance.
- Website and cookie data: kept for no longer than 14 months, in line with our website analytics tool.
- Enquiry, complaint and account records: kept for 3 years after the matter is resolved or the account is closed.
- Information we must keep to meet a legal obligation (e.g. tax law): kept for as long as the relevant law requires.
These are default periods and may be extended where we have an ongoing legal or contractual reason to keep information for longer. We also keep a plan for securely retaining or destroying personal information if we ever stop trading.
Who we share information with
- Our accountant and other professional advisers
- Stripe — our payment processor
- Google Workspace — for email, calendar and file storage
- MailerLite — our email marketing platform
- Other suppliers and service providers who help us run the business
International data transfers
Some of the suppliers we use are based outside the UK, which means your personal information may sometimes be transferred and stored abroad. Where this happens, we only use suppliers with appropriate legal safeguards in place, such as:
- Stripe (payment processing) — based in the United States. Transfers are protected under the UK Extension to the EU-U.S. Data Privacy Framework and the UK International Data Transfer Addendum.
- Google Workspace (email, calendar and file storage) — Google is a US company; transfers are protected under the same UK-US Data Privacy Framework safeguards.
MailerLite, our email marketing platform, stores UK and EU customer data on servers within the European Union, so this does not involve a transfer outside the UK/EEA.
